The administrative secretary advises and supports the two-headed Executive Board (BoD) in the performance of its administrative tasks. You are a proactive advisor and spider in the web with a broad view and sparring partner for the Executive Board. You direct and monitor procedures, processes and deadlines of policy and organisation documents and memoranda and ensure that interaction with the participation bodies ((P)GMR) runs smoothly. As a linking pin between the various bodies, you ensure coordination at various levels. You also play an important role in the decision-making process according to internal procedures, laws and regulations (including Wovo, the Participation in Schools Act, CAO VO) and act in an advisory capacity towards directors and the Executive Board. You support The Executive Board on governance issues. This includes compliance with the Code of Good Governance, monitoring the governance structure and the values, standards and strategic goals of OVO Zaanstad. You will also draft organisation and policy documents and memoranda to elaborate and implement the BoM's strategic policy. This support requires a true secretary who enjoys consulting with people. As board secretary, you are also secretary of the supervisory board (RvT). Finally, you are responsible for the policy area of social safety, in which you take charge internally and participate in external networks.
Some of the work
- Supporting and advising the cvb in the development, optimisation and implementation of policies and monitoring the integrality of the administrative agenda and board policies.
- Supporting the SB as secretary.
- Managing the board secretariat and reception.
- You direct and supervise the resolution of objections and complaints and liaise closely with all parties involved, including the relevant committee, parents school headmasters and BoE.
- Directs various (administrative) consultation and decision-making processes on behalf of the Executive Board and forms the connecting link between the Executive Board and the OVO Service Office.
- Supports the preparation and directs the annual report, course plan and reports.
- Plotting actions to relevant bodies and monitoring adequate follow-up.
- (Co)monitoring the governance of the foundation and ensuring compliance with legislation and the Code of Good Governance.
- Provide policy support to the organisation in relation to board policy.
- Keeping abreast of external developments relevant to OVO Zaanstad.

Job requirements
This you take with you- You have a completed WO education, for example Public Administration or Organisational Sciences and preferably several years of experience in a similar position.
- You preferably have knowledge of the complaints and objections procedure under the Secondary Education Act.
- You have a fluent pen and are able to write and edit policy notes and proposals, trailers and other papers for the board.
- You are organisation-sensitive and have knowledge of administrative relations in the (semi)public sector.
- You are plan strong and a process and project thinker.
- You have an affinity for legal matters.
- You are result-oriented and decisive and have good social and communication skills, both verbal and written.
- You are able to draft and/or edit policy notes and proposals, trailers and other documents for the board.
- As board secretary, it is important that you are independent, incorruptible, punctual and accurate.
Employment conditions
OVO offersWe offer you a fixed-term contract with a view to an indefinite period. Your salary will be in accordance with scale 12 of the CAO VO, up to a maximum of € 7,313 for full-time employment.
