The absence coordinator coordinates the registration, assessment, and sanctioning of pupil absences and carries out other supporting tasks.
 
Work
1. Coordinates the registration, assessment, and sanctioning of pupil absences by:
  • Carrying out the absence check and collecting student attendance data by reading Magister and comparing the data with that of parents/students;
  • Having conversations with pupils about their absence and the reasons for it, and reporting this to the mentor;
  • Taking action in cases of unknown/unauthorised absence or lateness
  • Approach the student in accordance with pedagogical rules, call parents, inform the mentor, fill in the logbook.;
  • Tracing luxury absenteeism and involving the truancy officer.;
  • Checking whether absences are recorded incompletely or incorrectly, and alerting the relevant teachers to this;
  • Arranging sanctions in accordance with the absence protocol with pupils, checking compliance with sanctions and, if sanctions are not complied with, rescheduling pupils;
  • Informing the mentor/parents if a student is frequently absent or late without a clear reason.;
  • Consulting with the care coordinator/department head regarding the student's sick leave;
  • Requesting mentors to obtain information on sickness absence from parents;
  • Passing on information to the care coordinator to register pupils for the absence from school clinic;
  • Consulting with the school attendance officer about the current situation;
  • The submission of data for the complete absence verification by truancy officers.;
  • Registering pupils with DUO;
  • Preparing absence overviews for meetings held at the town hall by the truancy officer.;
  • The planning and organisation of preventive consultations for pupils aged 18 and under 18, with the relevant compulsory education officer.;
  • Periodically reviewing the absence protocol and making improvement proposals to the school management.
2. Carries out other tasks by:
  • Providing initial support for pupils and/or parents in various situations and referring them to the mentor/head of year within the school where necessary;
  • Carrying out telephone and reception duties;
  • Receiving visitors;
  • Providing general information on a wide range of topics;
  • Supporting the concierges where necessary.
 
Remit, powers & accountability
Kader: the absence coordinator works within internal administrative and procedural rules and regulations, and the school's absence protocol.

Powers: the absence coordinator makes decisions about/in cases of:
  • Taking action in cases of unknown/unauthorised absence or lateness
  • Approach the student in accordance with pedagogical rules, call parents, inform the mentor, fill in the logbook.;
  • Consulting with the school attendance officer about the current situation;
  • Carrying out telephone and reception duties.
  • Accountability: The absence coordinator is accountable to the site director regarding the accuracy of the registration, assessment and sanctioning of pupil absence, and the execution of other support tasks.
 
Knowledge & Skills
  • General administrative and technical knowledge of the student tracking system and absence registration, and insight into related organisational and functional relationships;
  • Knowledge of the school's absence protocol and care protocol;
  • Knowledge of general information relating to the school and its staff;
  • Proficiency in compiling absence reports.;
  • Proficiency in using Word and Excel.;
  • Communication skills;
  • Skill in dealing with pupils;
  • Skill in consciously responding to pupil behaviour and reporting on it;
  • Skill in communicating with parents/carers and pupils.
 
Contacts
The absence coordinator has contacts:
  • Discussing absences with students to determine their validity and to impose disciplinary measures;
  • Discuss absences with parents/carers to determine legitimacy and exchange information.;
  • Met docenten over het aanleveren van diverse gegevens om controle mogelijk te maken;
  • Met mentoren/afdelingsleiders om te overleggen over leerlingen met (ziekte) verzuim en om informatie uit te wisselen;
  • With the care coordinator and truancy officers to discuss availability to plan a preventive consultation hour for absence and school doctor, 18+ and under 18s.;
  • Liaising with concierges about the adherence to agreements made with pupils concerning sanctions and the exchange of other necessary data related to absence registration.;
  • To exchange information with department heads/mentors about their students' absenteeism.
